Trade Show Booth Graphics: A Planning Checklist

Trade show graphics work best when they are planned with booth dimensions, audience flow, and brand assets in mind. Use this checklist to organize the project before production.

Plan trade show booth graphics around the booth you have, the audience you want to reach, and the conversation you want to start. Confirm venue and display specifications before designing. A coordinated layout should help visitors understand your offer without requiring them to read every panel.

Collect the booth and hardware specifications

Obtain the exhibitor manual, booth dimensions, height restrictions, and any display rules. Note open sides, neighboring booths, furniture, power locations, and the route visitors are likely to take. If the display uses existing hardware, identify its manufacturer, model, and graphic specifications.

Do not rely on a rough measurement of the visible frame as the production size. Ask for the correct artwork template and confirm how the graphic attaches. Tell PrintFX whether the project involves new display materials, replacement graphics, or a coordinated set of pieces.

Organize messaging by viewing distance

At the aisle, visitors need to identify the business and its main relevance quickly. Closer to the booth, supporting information can explain the offer or prompt a useful question. Detailed specifications may belong in a handout rather than on the main backdrop.

Create one central message and make sure every graphic supports it. A backdrop, retractable banner, table display, and brochure can share branding without repeating every word. Consider where people, monitors, products, or furniture may cover important information.

Use a production-ready planning checklist

  • Confirm finished graphic dimensions and the correct templates.

  • Collect approved logos, photographs, brand colors, and copy.

  • Mark any areas hidden by seams, hardware, or furniture.

  • List every display piece and the quantity needed.

  • Assign one proof approver and an approval deadline.

  • Confirm transport, setup, and delivery responsibilities.

Tell the team the event date and the date materials must actually be available for packing or shipping. Ask what production and approval schedule is feasible; do not assume the show opening date is the only deadline that matters. For travel from East Tennessee to an out-of-town show, include your departure plans in that discussion.

Check the visitor's next step

Decide how staff will connect the display to a conversation. A product demonstration, a focused question, or a useful handout should relate to the message visitors see. If a QR code is included, test the landing page and make sure it supports the same offer.

Before approving the proof, review the whole booth rather than each file in isolation. Check repeated logos, differing color versions, contact details, and whether older graphics conflict with new ones. Keep an inventory of approved files and hardware so a later event can be planned without rebuilding the brief.

Frequently asked questions

Can new graphics fit our existing display?

Confirm the exact hardware and required graphic specifications with PrintFX before ordering. Similar-looking frames can need different artwork dimensions.

Should all product details go on the backdrop?

No. Prioritize the main offer at a distance and use supporting materials for details visitors can read during a conversation.

What should I send for a quote?

Provide the booth plan, exhibitor rules, hardware details, piece list, artwork status, event date, and required availability date.

PrintFX designs and produces trade show displays and exhibit materials. Share your booth brief to request a project quote.
